How secure is the venue?

The safety and security of our staff, exhibitors and attendees is our priority. We work closely with the venue and local law enforcement authorities to identify risks, assess them, and develop security plans for our events.

Everyone attending the show should be aware of the following security measures:

Security will be onsite at all times to assist you during all aspects of the show.

Everyone must wear their badge and/or bracelet at all times. This includes exhibitors, vendors, attendees, guests (speakers, talent, artists), professionals, press, staff, and crew.

Any CCTV in operation at the show is monitored and recorded.

Uniformed and undercover security may be in attendance at the show.

Uniformed and undercover Police may be in attendance at the show.

Everyone attending the show is requested to:Keep personal property with you at all times and do not leave any items unattended.  If you see something, say something.  Report anything that looks unusual, suspicious, or out of place to Show Staff or Security immediately.

Carry a valid form of photo ID at all times

What is your Code of Conduct?

Realms strives to create and maintain an environment where all people are treated with dignity, decency, and respect. As such, we expect every “participant” in any Realms event in any manner whatsoever, including, but not limited to, all exhibitors, attendees, speakers, guests, professionals, media, staff members, workers, contractors, vendors, security, or anyone else who participates in any way, to behave appropriately throughout the year in accordance with this Code of Conduct.

Please be aware of and respect the personal boundaries of your fellow participants so that everyone can enjoy their time at the event.

Cosmic Realms has a ZERO TOLERANCE POLICY for harassment of any kind including, but not limited to:

stalking

intimidation

offensive verbal comments

physical assault and/or battery

threats

harassing or non-consensual photography or recording

sustained disruption of presentations and other events

bathroom policing

inappropriate physical contact

unwelcome physical attention

sexually explicit, suggestive and/or provocative behavior or signage

hate symbols in relation to, but not limited to:

race

color

national origin

gender

gender identity

gender presentation

sexual orientation

marital status

age

body size

disability

appearance

religion

citizenship

pregnancy

If a person engages in behavior in violation of this Code of Conduct at any time, Realms will take prompt action in any form deemed appropriate, including expulsion from the event with no refund. Our policy applies to EVERYONE participating in a Realms event.  ALL participants are subject to this Code of Conduct.

Please note that anyone can report harassment to event staff/security at any time. If someone’s behavior has made you uncomfortable, or if you witness harassment happening to someone else, you should immediately contact event staff/security. If necessary, security or event staff will contact local law enforcement, provide escort, offer a safe place, or otherwise assist those experiencing harassment.

Prohibited Activities

The Realms event policies and procedures apply to every “participant” in any Realms event in any manner whatsoever, including, but not limited to, all exhibitors, attendees, speakers, guests, professionals, media, staff members, workers, contractors, vendors, security, or anyone else participating in any way. Each participant is solely responsible for their own conduct while participating in the event or any part of the event. Guardians are solely responsible for the conduct of any Minors Participating in the event or any part of the event.

By participating in the event in any way, each participant agrees and acknowledges to Realms and its event partners (“management”) that they will not, and will not directly or indirectly cause others to, do any of the following “Prohibited Activities” in connection with the event:(i) interfere with, damage, or engage in any act which disrupts the operation of the event in any way, including but not limited to, obstructing aisles or entrances or exits, running, cutting in line, saving places in lines for others, jumping over barriers or guardrails, using foul language around minors, screaming, yelling, encouraging disruptive behavior from others, disobeying any time limits, directions or prohibitions provided to participant by management’s staff and/or moderators, or preventing any other participant from Participating in the event by any means;(ii) distribute, wear, transmit, upload, display or otherwise circulate any content which is inaccurate, unlawful, infringing, defamatory, obscene, pornographic, invasive of privacy or publicity rights, harassing, threatening, abusive, inflammatory, or otherwise objectionable to management in management’s sole discretion;(iii) distribute printed or recorded materials of any kind unless prior written approval has been obtained from management;(iv) impersonate any other person or entity or perform any similar fraudulent activities;(v) sell goods or services, display goods or services, make solicitations of any kind, or conduct any commercial activities without the prior written approval of management;(vi) harvest, collect, or attempt to collect the personal information, email addresses or other contact information of other participants in the event without the consent of such participants;(vii) defame, harass, abuse, threaten or defraud other participants in the event.(viii) circumvent, disable, damage, remove or otherwise interfere with the security, integrity, or proper conduct of the event;(ix) access any unauthorized part of the event designated as only for management use;(x) access any digital platform associated with the event by means of any robot, spider, scraper, crawler or other automated means for any purpose;(xi) participate in the event for any illegal purpose, or in violation of any applicable local, state, national, or international law or regulation, including, without limitation, laws governing intellectual property and other proprietary rights, data protection and privacy;(xii) smoke within the Venue for a live event, which includes, but is not limited to, cigarettes, vape pens, and marijuana;(xiii) drink or possess alcohol within the venue or around the venue.(xiv) use, sell, possess, or distribute any illegal drugs or other illegal substances, including, but not limited to, any medication that has not been legally obtained, is not being used in its intended dosage or for its intended purpose;(xv) assault, steal, fight, engage in or incite violence of any kind, including, but not limited to, verbal threats of violence; and(xvi) possess and/or use any of the following prohibited items in connection with the event:

a firearm, ammunition, knife, or weapon of any kind

objects or toys that appear to be firearms, ammunition, knives, or weaponsself-defense or restraining devicesfireworks or other explosive or flammable objects

glass containers

recreational devices such as drones, remote control toys, skateboards, scooters, inline skates or shoes with built-in wheels

strollers which are greater than 31” in width and 52” in length

folding chairs not being used at vendor tables (even if it would be very funny to see a reenactment of the Montgomery Riverfront Brawl)

selfie sticks

balloons

NOTE: Management has a ZERO TOLERANCE POLICY for weapons of any kind. Event security and local law enforcement officials will treat anything that looks like a real gun as a real gun.

At the discretion of Security onsite, the following  may  be allowed:

Plastic and Metal ShieldsLightweight Plastic/PVC Props/Light SabersToy guns as long as they do not look like real ones, cannot function or shoot projectiles and have an orange tip on the barrel.  The barrel of all prop firearms must be covered with brightly-colored caps. Prop bows will be allowed providing all arrows have soft tips made of foam or cardboard.If any of the above items are deemed unsafe by Security, they will not be allowed inside the building. They will only be allowed as long as they are deemed safe and will not cause harm onsite.

If you're bringing, buying or selling something that could maim, damage or cause bodily harm, we're going to take issue.

The following items are forbidden at the show:

Functional firearms (including air soft guns, BB guns, cap guns, paintball guns and pellet guns)

Realistic replica firearms (including reproduction, fake or toy guns that can be confused for functional firearms)

Functional projectile weapons (including blow guns, crossbows, long bows, silly string, slingshots, water balloons and water guns)

Sharpened metal-bladed weapons (including axes, daggers, hatches, knives, kunai, shuriken, swords, sword canes and switch blades)

Explosives (including firecrackers and fireworks)

Chemical weapons (including mace and pepper spray)

Blunt weapons (including brass knuckles, clubs and nunchaku)

Hard prop weapons (including props made of metal, fiberglass, PVC, wood and glass, excludes handmade or replica wands)

Instruments that cause excessive noise levels like vuvuzelas, grenade whistles and grenade horns

Whips

Aerosol mustard

You as a fan are able to help us improve event security, fan safety and the overall happiness of everyone at or near the show. While everyone attending the show knows about costumes and props, the citizens of Philippi may be unaware of the show and mistake prop weapons for real weaponry. If you have a weapon or prop that might intimidate or scare people, please be mindful of it as you carry it throughout the city streets. If you have a weapon that might be misconstrued as a real weapon, please keep it concealed and do not carry it out in the open as you travel through Philippi. We would hate to cause unnecessary panic, upset, or unwarranted calls to 911. We really appreciate you being mindful of this and using common sense when it comes to props and costuming!

What should I do if I get hurt at the show?

If you're hurt, please reach out to Show Staff and we'll get you help. You can also choose to head to our First Aid station depending on the severity of your injuries, located near Registration. In addition, Broaddus Hospital is located within minutes of the venue. County ambulances will be called to transport patients when needed.

What is your pet policy?

Pets are not allowed and will be turned away. Only legitimate service animals that are properly trained and under the proper care of their owners will be allowed into the event and provided with the appropriate credentials.

All service animals must remain by the handler's side at all times and must be harnessed, leashed, or tethered, unless these devices interfere with the service animal's work or the individual's disability prevents using these devices. In that case, the individual must maintain control of the animal through voice, signal, or other effective controls.

Service animals must be housebroken and should use the service animal relief area.

Anyone bringing an animal will be responsible for and liable for any damage or injury caused by the animal.

All animals should have legally required vaccinations.

Service animals are permitted throughout the venue; however, this DOES NOT include:

Emotional support animals

Therapy animals

Companion animals

Does this show provide ADA accommodations?

The entire Show Team is committed to making sure that all of our fans have an amazing experience. Please take inventory of your needs as they pertain to attending the show. Depending on what you need, our Assistance Program may be for you. We can provide assistance badges or stickers to individuals who may have mobility, physical, vision, hearing, cognitive, psychological, invisible or other types of disabilities.You can pick up  your ADA Stickers at the ADA Desk at Registration.

The show also has a Quiet Room for those who need a break from the Show Floor, due to personal preservation, social anxiety or health issues. Strict volume levels will be enforced, as this is for resting, not socializing. The Quiet Room is located to the left of Registration near the front doors.

Additionally, if anyone urgently needs to replace medications, supplements or medical/personal wellness supplies of any kind, Philippi has a Walgreens on Main Street open till 9pm. We also have family-owned Mace's Pharmacy, but they are only open from 9am - 3pm on Saturdays. Be sure to check with these pharmacies in advance of your attendance if you're concerned about access to medications.

What is your media release policy for journalists, influencers and other attendees covering events at the show?

The show will attract local and state press. In purchasing this ticket and in consideration for being admitted to the event, the holder consents to being recorded (by audio, visual and/or other means) for exhibition and exploitation by any means in all media now known or hereafter devised worldwide in perpetuity. Holder also hereby: (1) releases Realms showrunners from any liability for loss or damage to persons or property, infringement of any right or any other claim or course of action of any kind; (2) authorizes and permits  Realms and its designees which include but are not limited to all sponsors, exhibitors and contractors to use and authorize the use of his/her name, voice, likeness and all reproductions thereof by any means and in all media now and hereafter know for all purposes worldwide in perpetuity; and (3) agrees to comply with all rules and regulations of the event. We reserve the right to deny entry or remove from the event facilities any person who in our sole and absolute discretion is behaving or threatening to behave in a manner which we reasonably consider to be disruptive of the event.

What is your attendance policy?

Tickets and/or badges ("Tickets") for the event ("Event") are non-refundable and non-transferable and cannot be reproduced, resold or upgraded. The unauthorized resale or attempted resale of the Ticket is prohibited and will constitute a forfeiture of the Ticket without compensation. Each Ticket must be used by the same person (the "Attendee") for each day of the Event. The Event's operating hours, schedules, guests and speakers are subject to change or cancellation without notice. Each Ticket is a revocable license to attend the Event. All panels, autographing, photo ops, special events, show features and performances are subject to availability and access is not guaranteed and/or may require an additional fee. Realms is not responsible for lost or stolen Tickets. There are hazards and risks of physical injury or illness to Attendees of the Event and that not all such hazards or risks can be fully eliminated. By accepting this Ticket (at time of purchase) and attending the Event, the Attendee freely and voluntarily agrees to assume the full risk of bodily injury or property damage, regardless of severity, or death that Attendee may sustain as a result of attending the Event, whether or not caused by the negligence or gross negligence of Realms or Battlers Knob.
